This notice applies to personal data we process about website visitors, customers and prospective customers, including data collected via our suit designer, checkout, customer service and operational systems.

  • Identity & contact data — name, email, telephone, delivery/billing address, account identifiers (if you register).
  • Order data — items purchased, suit design options (including options/pricing JSON), measurements you provide, order notes, discounts used.
  • Payment-related data — payment status and identifiers from our payment provider (we do not store full card details on our servers).
  • Technical data — IP address, device/browser info, security logs (e.g., reCAPTCHA results), and error logs.
  • Usage/analytics data — pages viewed, actions on the suit designer, aggregated engagement metrics (e.g., via Google Analytics, if you consent).
  • Marketing preferences — your email marketing preference and legal basis (soft opt-in / opted-out).
  • Local storage — selections temporarily stored in your browser to make the suit designer work smoothly. This is not shared unless you submit an order or save/share a design.

  • Directly from you — forms you submit, checkout, messages.
  • Automatically — via cookies/local storage/analytics and security tools when you browse our site.
  • From service providers — e.g., payment provider (Worldpay) sends us payment confirmations/status; carriers provide delivery/tracking updates.

  • To take and fulfil your order — process designs, payments, manufacture, shipping, and customer support. Lawful basis: contract (or steps at your request before entering a contract).
  • To comply with the law — accounting, tax and fraud-prevention requirements. Lawful basis: legal obligation.
  • To run, secure and improve our site and services — troubleshooting, security (e.g., reCAPTCHA), performance and product improvement. Lawful basis: legitimate interests, balanced against your rights.
  • Analytics — understand site usage to improve experience (non-essential; only if permitted in our cookie banner). Lawful basis: consent.
  • Direct marketing by email — about our similar products and offers to existing customers who didn’t opt out at collection; opt-out in any email. Lawful basis: legitimate interests under PECR’s soft opt-in + opt-out control. For everyone else, we rely on consent (via unticked checkboxes).

You can unsubscribe from marketing at any time using the link in our emails or by contacting us at info@vertexskysports.com.

  • Payment processing: Worldpay (FIS).
  • Email & communications: Microsoft 365/Outlook (msgraph_mailer) and our email infrastructure.
  • Website hosting & security/CDN: Godaddy, Cloudflare, Google reCAPTCHA.
  • Analytics (non-essential): Google Analytics (only if you consent via the cookie banner).
  • Manufacturing & logistics: our production partners and shipping carriers for delivery.
  • Professional advisors / IT support: when necessary for our legitimate interests and under confidentiality.

We do not sell your personal data.

Some providers (e.g., Google, Microsoft, Cloudflare, payment networks) may process data outside the UK. Where we make a restricted transfer, we use appropriate safeguards such as the UK’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or we rely on adequacy regulations where available.

  • Orders & accounting records: typically kept for a minimum of 6 years after the end of the financial year they relate to (or longer where required).
  • Marketing preference: kept until you unsubscribe or we no longer send marketing to you (suppression lists kept to honour opt-outs).
  • Analytics data: retained in line with our analytics configuration; you can withdraw consent at any time via the cookie banner.
  • Security logs: retained for a short period necessary to protect our services and investigate incidents.

If we cannot provide a specific period, we use criteria based on purpose, risk and legal requirements.

You have the right to:

  • access your data and receive a copy;
  • correct inaccurate or incomplete data;
  • erase your data in certain circumstances;
  • restrict or object to processing (including objection to direct marketing at any time);
  • data portability (for data you provided to us, where technically feasible);
  • withdraw consent where we rely on consent.

To exercise these rights, contact us at info@vertexskysports.com. We may need to verify your identity before responding.

At checkout we use the soft opt-in for customers purchasing similar products/services and provide a clear opportunity to opt out at collection and in every message. You can opt out anytime by using the unsubscribe link in our emails or by contacting us. For non-customers or other channels, we rely on explicit consent (unticked checkboxes).

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, least-privilege admin access, and regular monitoring. Payment card data is handled by our payment processor; we do not store full card details on our servers.

Our website and products are not directed to children. If you believe a child has provided us with personal data, please contact us and we will delete it where appropriate.

For details on the cookies and similar technologies we use (including local storage for the suit designer) and your choices, see our Cookie Policy. You can change your preferences any time via the cookie banner.

If you have any questions or would like to exercise your rights, contact us at info@vertexskysports.com.
